Every event host has their own way of managing guests. One arrives with a spreadsheet, another has replies spread across messages, and another is still trying to confirm numbers shortly before the event.
For the venue team, that inconsistency makes it harder to understand the event’s current position. The venue may know the room, booking and schedule, but have limited visibility into the guest journey happening around them.
I Am Coming offers a white-labelled Event Invite Management System for function centres, restaurants, kids play centres and other venues hosting eight or more events a month. It gives hosts a structured invitation and RSVP experience while giving the venue clearer guest and attendance visibility.
The model is zero cost and zero commitment for the venue. The per-event fee is paid by the host.
A shared view without taking over the event
The host should remain in control of their celebration. They know their guests, the tone of the occasion and how they want the invitation to feel.
IAC gives the host tools to create invitations, manage the guest list, track responses, send reminders and use event-day check-in. The venue gains visibility into the event information relevant to the guest-management process.
That shared view can reduce the need to keep asking the host for an updated list. It also creates a more consistent process across events without forcing every celebration to look identical.
The system supports the relationship between venue and host. It does not replace the personal planning, customer service or event-day judgement already provided by the venue team.
Live RSVP and attendance visibility
A final number sent by email is only a snapshot. Guest responses can continue to change, particularly as the event approaches.
A live RSVP tracker provides a clearer current view of accepted, declined and unanswered invitations. On event day, check-in adds attendance visibility by recording arrivals against the event’s guest information.
Expected attendance and recorded arrival remain different measures. Keeping both visible helps the venue understand what guests said before the event and what was recorded on the day.
IAC does not promise that this data will produce a particular commercial outcome. Its purpose is straightforward: create a more visible, organised guest-management process for the host and venue.
A better-branded experience for customers and guests
The platform can be white-labelled for the partner venue, helping the invitation and RSVP journey feel connected to the place where the event will happen.
That continuity matters because the guest experience begins before arrival. A coherent, venue-branded journey can feel more considered than being sent to an unrelated generic form.
Branding does not need to overpower the host’s event. The goal is to bring the venue and celebration together in a clear customer-facing experience, with the exact branding configuration agreed during partner onboarding. The white-label RSVP guide explores that balance in more detail.
Simpler event-day coordination
When arrivals are managed from a printed list, any late change can create uncertainty at the door. A live check-in process keeps attendance connected to the same event record used before the day.
Venue staff can work with the host’s chosen arrival setup. Some events may use guest self-check-in, while others may have a host or team member helping at the entrance.
There should always be a human fallback. A guest may have difficulty accessing their invitation or need help finding the correct record. The technology provides visibility; the venue team still provides the welcome. Read the QR event check-in guide for practical considerations.
Zero cost and zero commitment for the venue
There is no payment required from the venue to join, and no ongoing commitment to continue offering IAC. When a host chooses to use the system for an event, the per-event fee is charged to that host—not the venue.
This structure allows a venue to introduce a more organised guest-management option without adding a software subscription or minimum event commitment to its operating costs.
It is still important to explain the arrangement clearly to hosts. They should understand what the platform provides and what they will pay before choosing it.
Designed for regular event venues
A venue hosting one occasional function may not need a partner workflow. The IAC program is intended for businesses managing eight or more events each month, where repeating a clear process can be more useful.
That may include function centres, restaurants with private events, children’s play centres, community venues and other spaces with recurring host-managed guest lists.
The value is not an unverified promise of more bookings or revenue. It is a more consistent branded experience, clearer guest visibility and connected attendance tracking.
